The Role
Vocus is a leading telecommunications company dedicated to providing exceptional services to our clients. We are currently seeking a dynamic and experienced Receptionist & Office Administrator to join our team.
As the Receptionist & Office Administrator, you will play a crucial role in providing outstanding customer service and efficient administration support to internal and external stakeholders. Your responsibilities will span reception, office event planning, access control, building management, and participation in national business improvement initiatives.
**Key Responsibilities**:
- Be the first point of contact for employees, vendors, visitors, and more.
- Assist in planning and organizing office events, including catering arrangements.
- Issue purchase orders, manage goods receipts using Pronto software.
- Handle access control and security, issuing access cards, and conducting monthly audits.
- Coordinate meeting room bookings and arrange courier and mail services.
- Manage incoming calls and redirect to the correct areas within the business.
- Maintain stock levels for stationery and kitchen supplies.
- Facilitate repairs and maintenance tasks, providing timely updates.
- Collaborate with cleaning staff to ensure high-quality cleaning standards.
- Assist in managing Fire Warden/First Aid training and maintenance.
- Maintain a positive relationship with site Building Managers.
- Support the National Property Manager and Office Manager in national business improvement initiatives.

- Prioritize tasks based on importance.
- Excellent communication with C-Suite stakeholders.
- 3+ years in a Reception/admin or similar role.
- 2+ years’ experience with Microsoft Office (Outlook, Word, Excel).
- Professional presentation and interpersonal skills.
- Punctuality, reliability, and excellent time management.
- Good written and verbal communication skills.
- Computer literacy.
- Strong common-sense approach and problem-solving skills.
- Possess outstanding phone manner.
- Ability to work well in a team and autonomously.
- Ability to consistently maintain a positive outlook and high work ethic.
- Confidentiality, tact and discretion when dealing with people.
