We are currently looking for an Assistant Facilities Manager who will manage operational delivery of maintenance and services (Hard & Soft) to a portfolio of retail & industrial sites including ensuring relevant client stakeholder are supported. Also support account FC’s as escalation point for technical advice and assistance. Also assist the Facilities Manager/Account Lead with account level Risk, Vendor, Finance & Client Management activities as required.
Assist with expansion of service delivery to other parts of the client Organisation.
Partnering with the Client/Stakeholder(s)Proactively engage stakeholders to ensure that on site client’s expectations are met and client DOA followed.
Build and develop effective client / stakeholder relationships across multiple levels of the organisation
Procurement & Vendor ManagementEnsure vendors are well-managed, delivering services on time and within budget
Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as Jones Lang LaSalle best practice
Develop and maintain relationships with vendors ensuring regular meetings are held
Keeping the numbers in checkActively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the JLL Code of Ethics
Ensure financial processes are followed at all times
Ensuring everyone stays safeThis role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules.
Keeping an eye on the Site & OperationsAble to work autonomously and efficiently without supervision
Recommend continuous quality improvement practices and implement Industry Best Practice operations
Ensure all FM requirements are met
Review existing operations regularly to reduce costs and improve operational standards
24/7 emergency call support and site attendance is required
Manage issues/complaints raised by the client for respective site.
Maintain site On/Off process for respective site portfolios
Manage work orders to ensure they meet the timeframe and invoices are received in a timely manner from vendors
Manage Quotes received from vendors
Limiting Risk to JLL & the ClientEnsure escalation procedures and incident reporting procedures are implemented and maintained
Follow established escalation procedures and incident reporting procedures
Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
