**About the Role**:
To manage coordinate projects and site mobilisations, contribute to tender preparation and to provide general administration support to the projects team.
**Position Description**:
**Key Accountabilities**:
- Provide friendly and professional service whilst co-ordinating a variety of project related and general administration support.
- Working with very high volumes of mobilisation of resources within a fast turnaround time
- Collaborate with co-workers to deliver appropriate support to ensure mobilisation requirements can be delivered on within set timeframes.
- Develop, maintain and manage a client database that ensures compliance of training records and inductions at all times.
- Work closely with site representatives and the recruitment team to offer a seamless on-boarding and mobilisation process to our employees.
- Contribute to the timely completion of tender documentation.
- Provide a high level of customer service to internal and external customers.
- Coordinate and administer meetings with internal stakeholders and external contractors including setting agendas, recording minutes, following up action items and distributing meeting minutes to stakeholders.
- Assist with booking of branch and personnel training, medical and travel requirements.
- Issue and release all purchase orders relevant to project undertakings ensuring they are ready for payment.
- Review, record and maintain labour hours and costs incurred for all contracts for employees and hire.
- Order, issue and distribute PPE and other onboarding items as and when requested.
- Monitor and maintain the Projects Manning and personnel registers.
- Other duties as directed by your Supervisor.
**Skills/ Selection Criteria (qualifications & experience)**:
**Essential**:
- Current Driver’s Licence
- Flexible with working hours and contactable after hours /or weekends.
- High level of accuracy and attention to detail
- Exceptional organisation and planning skills with strong adherence to deadlines
- Patient, flexible and adaptable to changing and challenging circumstances
- Great problem-solving and the ability to work well under pressure.
- Excellent verbal and written communication skills
- Able to work unsupervised or with limited direction.
- A high level of discretion and professionalism to act with integrity and always maintain confidentiality.
- Microsoft Office Suite skills
**Desirable**:
- Experience in Rental, Mining or Construction Industries (or similar)
- Certificate III Business Administration (or similar)
