**Job Description**:
WT Partnership, a leading international consultancy in the construction and infrastructure industry, has an exciting opportunity for you to be a vital part of our head office staff in Melbourne.
Are you a detail-oriented multitasker? Do make sure things run smoothly? We’re looking for someone who fits that description to provide administrative support to National Directors and the associated team.
**The core duties will involve**:
**Proposal & Tender Support**:

- Assist in the development, writing, and coordination of proposal, tenders, and submissions, ensuring they align with client requirements and WT's brand standards.
- Support the director and senior team members in drafting content, including executive summaries, project narratives, and technical responses.
- Help gather and consolidate information from various stakeholders, ensuring all sections of the proposal are complete, accurate, and delivered on time.
- Collaborate with the marketing team to incorporate marketing collateral into proposals, such as capability statements and business cases.
- Assist in editing and proofreading proposal documents to ensure consistency, clarity, and professionalism.

**Project Administration**:

- Updating and ensuring client data integrity in the Document Management System and ensuring new projects are set up properly.
- Understanding and generating various WT reports, i.e., financial verification reports, tax depreciation, proposals, etc. in a timely and efficient manner.
- Ensuring document accuracy and quality.
- Generating fees and monthly invoicing, including communicating with clients.

**Qualifications**:
**Essential experience**:

- Strong communication and interpersonal skills, with the ability to work collaboratively with senior leaders, team members, and external stakeholders.
- Proven experience in an administrative, project coordination, or assistant role, ideally within a professional services or construction-related environment.
- Experience in producing or assisting with proposals, tenders, or submissions, including drafting content, formatting, and document coordination.
- Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a strong understanding of formatting and document management.
- Strong writing, editing, and proofreading skills, with the ability to tailor content to specific client needs and maintain consistency in tone and language.
- Demonstrated ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
- Experience with document management systems and ensuring data integrity and accuracy.
- Strong attention to detail and organisational skills.

**Desirable experience**:

- Previous experience in a professional services firm or construction consultancy.
- Knowledge or understanding of the construction or infrastructure industry, particularly cost management or quantity surveying services.
- Familiarity with Adobe Creative Suite (InDesign, Illustrator, Photoshop) for document design and presentation.
- Experience with specialised software such as Adobe Creative, Microsoft Project, or similar project management tools.
