**Who are we looking for?**
You will have a background in Administration or similar and have demonstrated related work experience in a fast-paced environment and in high performing teams. You will have 2 years + experience working in a FIFO environment with advanced communication skills to work with a cross-shifts.
You will need a high level of computer proficiency with Microsoft Office Suite and Power Point and the ability to create, maintain and improve systems and business processes.
You will also have:
- Australian drivers' licence
- First Aid and CPR trained
- A focused and effective approach to safety
- Conduct all work with a high degree of professional ethics and integrity
- 4WD training is desirable
**About the role**
Reporting to the Superintendent Field Services, this role is integral to ensuring the smooth running of administration support for the Geology and Field Services Teams with responsibility for the efficient and effective management of administration, information and business systems to ensure the field team stays focused on the company's strategic goal of making a 1moz gold discovery.
This role is offered on a permanent basis with a hybrid structure of working both at our Yamarna site and in the Perth Head Office, with travel to site and other locations, as required.
Key Responsibilities
Administration:
- Manage site roster and accommodation allocation
- Coordinate flight bookings for Gold Road and contractor personnel
- Manage on boarding for Gold Road and contractor personnel and deliver the exploration site induction as required
- Manage and maintain site entry compliance register
- Review and monitor journey management plans and schedules for exploration
- Fulfill the role of Schedule Officer
- Prepare and distribute daily pre-start minutes
- Prepare and distribute weekly drill planning meeting minutes
- Assist with safety administration including minute taking for Monthly EHSECC meeting minutes
- Record daily man hours on HSE report statistic spreadsheet
- Ensure that office functions (administration, document control, filing system, records, clerical recording, software licencing etc.) are effectively managed and organised
- Ensure documents and forms adhere to the Company style guide
- Provide iSystain & SharePoint training to staff as required
- Provide an administrative support service to all site departments as directed by the Exploration and Field Services Superintendent.
- Raising of purchase orders
- Receipting of goods and services for site departments within agreed time frame
- Facilitate and consolidate monthly reconciliation reports for diesel fuel
- Manage site credit card expenses and BP fuel cards in line with company policies
- Support the corporate finance team with collating invoices, expense claims, leave forms and time sheets.
Camp Operations & Logistics:
- Coordinate with freight contractors the delivery and collection of goods and samples as required
- Maintain and monitor stock levels and inventories for all items relating to the operational running of the camp including consumables, diesel, gas, potable water, PPE/uniforms and stationery
- Contribute to business improvement initiatives & standardise processes/procedures to deliver a highly efficient and organised operation
- Build effective relationships with stakeholders.
