**The primary purpose of the role**
The Executive Support Officer provides a range of high-level executive support and administrative services to facilitate the delivery of business operations and to support the Senior Executive/s achievement of organisational objectives.
The Executive Support Officer works collaboratively across the organisation and is largely guided by the Executive Director/s as to priorities.
The role is responsible for the quality and integrity of advice provided to internal staff and stakeholders.
**Key Accountabilities**
- Assess and prioritise requests to facilitate the optimal use of the executive’s time.
- Manages complex and changing diaries, including scheduling, negotiating appointments and meetings and organising associated and supporting documentation.
- Manage the Senior Executive/s records and correspondence, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda.
- Draft and prepare correspondence, agendas, minutes, presentations and briefing notes to support the achievement of business requirements.
- Gather, collate and provide background information for the executive to support informed decision-making and planning.
- Maintain and update administrative practices, systems and procedures to improve efficiency and service delivery.
**Key challenges**
- The Executive Support Officer must display professional and effective communication and liaison skills with both internal staff and external stakeholders at all levels.
- Managing competing priorities and providing consistently high levels of support, given heavy workloads, short deadlines and the need to pay attention to detail.
- The requirement to maintain confidentiality and act with discretion
**Essential requirements**
- Considerable experience supporting an executive manager.
- High degree of professionalism and judgment with the ability to maintain a high level of confidentiality.
- High-level written and oral communication skills and the ability to communicate and liaise effectively and sensitively at all levels, both internally and externally.
- Ability to balance conflicting priorities and work to deadlines.
- Advanced knowledge and experience in MS Office, Outlook, and records management systems.
- Supports productive relationships with a demonstrated ability to work as part of a team and
independently and with people at all levels
**Key relationships**
- Escalate issues and receive instructions; receive and clarify guidance and instructions; report on progress against work plans.
- Respond to requests for information or assistance and escalate sensitive issues.
- Manage the flow of information; seek clarification and provide advice and responses; respond to queries, identify needs, communicate services and redirect, escalator resolve issues.
- Develop and maintain effective working relationships and open channels of communication.
