
Administrative Coordinator

Job Title:
","We are seeking a highly organised and detail-oriented individual to join our team in the role of Administration Officer.
","The ideal candidate will have a problem solving mindset and be able to handle rapidly changing priorities, ensuring efficient scheduling, client communication, and service delivery.
","Key Responsibilities:
","- Coordinate daily schedules for technicians and sub-contractors across multiple sites
- Manage urgent callouts and rescheduling due to emergencies, cancellations, or delays
- Communicate with clients to confirm appointments and service details
- Monitor job progress and adjust schedules as needed
- Allocate daily jobs and optimise routes for fire technicians based on priority, location, and urgency
- Liaise with internal departments to ensure timely service delivery and a seamless workflow
- Handle incoming calls and emails related to scheduling and service inquiries
- Assist with reporting and administrative support as required
- Maintain and monitor accurate records of servicing and compliance within our software management system
- Assist in continuous improvement initiatives to streamline our scheduling processes
Required Skills and Qualifications:
","- Proven experience in scheduling and administrative roles
- Strong organisational and multitasking skills with the ability to prioritise workloads and thrive under pressure
- Excellent communication and interpersonal abilities
- Strong administrative writing and verbal skills
- High attention to detail
- Strong analytical skills
- Professionalism, confidentiality, and excellent organisational skills
- Proficiency in scheduling software, and Microsoft Office Suite
- Experience with software program "Uptick" preferred but not essential
- Fire industry scheduling experience will be highly regarded
