We are seeking a skilled professional to fill the role of Tender and Proposal Coordinator. This position is a pivotal contributor in the preparation and delivery of tenders, proposals, bids, and related documents.

Job Description

The Tender and Proposal Coordinator will work closely with proposal managers, subject matter experts, and internal stakeholders to coordinate, develop, organize, and complete high-quality proposals from initiation through to production and delivery. Key responsibilities include:

  • Reviewing opportunity documents to evaluate requirements, contractual terms, and evaluation criteria for bid submission compliance.
  • Compiling marketing materials, preparing qualification materials, and coordinating development of graphics and page layout design.
  • Coordinating the flow of information to meet internal and external deadlines and complete reviews.
  • Completing document formatting, editing, printing, distribution, and overall document reviews.
Required Skills and Qualifications

To be successful in this role, candidates must possess advanced skills in Microsoft Word and large/complex document formatting. Additionally, they should be proficient in Microsoft Excel, Adobe Acrobat, Microsoft SharePoint, PowerPoint, and Salesforce or other CRM tools. Familiarity with tender portals/supplier portals (e.g., VendorPanel, TenderLink) and proposal automation tools (e.g., Loopio) is also preferred.

Candidates should have strong business writing, editing, and communication skills, as well as attention to detail and accuracy. Understanding of financial and legal terms and budgeting/scheduling is also required. Cultural awareness and sensitivity, especially regarding indigenous communities and public sector engagement, is essential.
