About the Role

Melbourne Polytechnic is seeking a highly skilled and experienced Administrative Assistant to join our Directorate administration team. As an Administrative Assistant, you will play a key role in ensuring the efficient and effective administration of the Student Life Cycle within the Foundation Directorate.

Key Responsibilities
  1. Assist in the administration of the Student Life Cycle, ensuring strong relationships between Melbourne Polytechnic students and employers.
  2. Provide proficient use of software, including Outlook, MS Word, MS Excel, SharePoint, CELCAT, and Student Management System (STRATA/Markbook).
  3. Perform secretarial, administrative, and reception duties, and assist in the maintenance of quality and information systems relevant to the operational needs of the Foundation Directorate.
  4. Provide high-level customer service, facilitating prompt responses, disseminating accurate and timely information to internal and external stakeholders, and ensuring all inquiries are handled with tact and diplomacy.
Requirements
  1. A current Police Check.
  2. A current Working With Children Check Card (Employee).
Desirable Skills and Experience
  1. Appropriate vocational or other qualifications and/or extensive experience in administrative support roles.
  2. Demonstrated high standard of administrative and organizational skills, including skills in document presentation, database maintenance using Microsoft software, filing, and administrative systems maintenance.
  3. Experience in or ability to undertake proficient use of systems relating to the student life cycle and apprenticeship data, if appropriate.
  4. Demonstrated ability, commitment, and attitude to the provision of high-level interpersonal skills to enable effective communication and liaison with internal and external stakeholders.
  5. Ability to use tact, diplomacy, and capacity to maintain confidentiality.
  6. Demonstrated ability to work effectively both independently and as part of a team.
  7. Demonstrated knowledge and commitment to Occupational Health and Safety, Anti-Discrimination, Quality Assurance, and Continuous Improvement.
