
High-Level Administrative Support Specialist

We are seeking a highly skilled and experienced support professional to provide exceptional administrative assistance to our senior leaders.
This is a 12-month maximum term role, predominantly based at our Joondalup office location, requiring some travel and occasional days in West Perth.
Responsibilities- Managing diaries and inboxes: Coordinating schedules, meetings, and travel for senior leaders, ensuring priorities are balanced and demands are managed with professionalism and discretion.
- Preparing meetings and materials: Organising internal and external meetings, preparing agendas, briefing packs, and board papers, taking accurate minutes, and tracking follow-up actions.
- Coordinating events and functions: Managing logistics such as venues, equipment, and catering, supporting both business functions and team social events.
- Supporting financial and planning processes: Assisting with budgeting, forecasting, and financial reporting, including processing invoices, expenses, and reconciliations, contributing to annual and business planning.
- Enhancing administration and record-keeping: Maintaining accurate filing and records systems, coordinating archiving, and identifying opportunities to improve administration processes.
- Providing project administration support: Assisting with key initiatives and projects to ensure smooth delivery.
- Building relationships and supporting the team: Establishing strong working relationships with senior leaders, executives, and external partners, providing guidance to junior administration employees.
- Experience: Significant experience as a Personal or Executive Assistant, including roles as an Office Manager or Supervisor.
- Autonomy and Initiative: Ability to work autonomously, employ initiative to find solutions, prioritise tasks, and exercise discretion.
- Organisational Skills: Excellent organisational and administration skills with a proactive and flexible approach to work.
- Communication and Interpersonal Skills: Strong interpersonal, communication, and negotiation skills with a demonstrated ability to build and maintain relationships.
- Education and Certification: Relevant certification in Business/Secretarial studies and a Cert IV in Frontline Management are desirable.
