Job Title

Key Responsibilities
  • Provide a warm and professional welcome to all visitors, making them feel valued and appreciated.
  • Answer and direct phone calls, take messages, and manage the main reception inbox efficiently.
  • Ensure meeting rooms are prepared with all necessary equipment and materials for a seamless experience.
  • Register visitors and maintain security protocols to ensure a secure environment.
Administrative Support
  • Manage incoming and outgoing mail, packages, and deliveries in a timely manner.
  • Schedule appointments, meetings, and conference rooms using office systems to optimize productivity.
  • Maintain staff contact lists and internal directories up-to-date and accurate.
  • Provide administrative support across departments as needed to facilitate teamwork and collaboration.
Office Operations
  • Maintain a clean and organized reception and front office area, ensuring a positive first impression.
  • Monitor office supplies and coordinate orders as required to avoid stockouts and disruptions.
  • Assist guests and staff with inquiries about facilities, amenities, and appointments in a helpful and courteous manner.
  • Communicate clearly with employees about visitor arrivals and daily updates to ensure a smooth workflow.

  • Strong communication skills, both written and verbal, with excellent listening skills and attention to detail.
  • Computer literacy with experience in Microsoft Office (Word and Outlook) to perform administrative tasks efficiently.
