About this role:

Facilities Coordinator

We are seeking a detail-oriented and organized Facilities Coordinator to join our team.

  • This is an exciting opportunity for someone who has experience in facilities coordination, administration, or reporting-heavy roles. As a key member of our team, you will play a vital role in ensuring facilities run smoothly while producing key performance and compliance reports for internal and client stakeholders.
  • You will be based on-site in Melbourne, working collaboratively in a small team environment to deliver facilities services.

Key responsibilities:

  1. Reporting and Data Management: You will prepare and deliver monthly and quarterly reporting on grounds & gardens, compliance, performance, etc.
  2. CMMS Management: You will manage and maintain Computerised Maintenance Management Systems (CMMS) data, work orders, and asset registers.
  3. Contractor Coordination: You will coordinate soft and hard services contractors to ensure delivery against Key Performance Indicators (KPIs).
  4. Procurement Support: You will assist with the procurement of consumables, purchase orders, and invoices.
  5. Facilities Inspections: You will support facilities inspections, audits, and compliance requirements.
  6. Relationship Building: You will build strong working relationships with colleagues, clients, and subcontractors.
  7. Administrative Support: You will provide general administrative and operational support to the Account Manager and Facilities team.

Requirements:

  • Experience in facilities coordination, administration, or reporting-heavy roles.
  • Proficiency with Microsoft Excel, Power BI, and other reporting tools.
  • Strong organisational and communication skills.
  • Ability to work collaboratively in a small team environment.
  • Full working rights in Australia.

Desirable qualifications:

  • Background in facilities management, property, or corporate real estate.
  • Experience using CMMS.
  • Exposure to contract compliance or KPI reporting.
