
Office Coordinator

This is a full-time temporary position based in Warriewood, with close proximity to bus stops and on-site parking available. The working days and hours are Monday to Friday, 8am to 4pm, and the role is office-based.
The ideal candidate will be self-motivated, possess high organisational and multi-tasking skills, and enjoy variety in their work.
Key responsibilities include administration duties and scheduling tasks, including coordinating appointments between customers and staff.
Previous scheduling experience is advantageous, although training and support will be provided. If you have excellent administration and customer service skills, looking for temporary work that may lead to a permanent opportunity, then this could be suitable for you.
Key Duties:- Assist in answering phone calls and managing varied lists
- Support the scheduling of all drug and alcohol testing jobs across Australia and New Zealand
- Make live schedule changes where necessary
- Order and receive supplies for Collectors, and assist in packaging and posting
- Assist in scheduling paramedic rosters
- Help manage the on-call roster for collectors
- Collaborate with the team in booking travel arrangements for collectors, nurses, and paramedics when required
- Request schedules from clients and send confirmations of the schedule to clients
- Support the accounts team with operational queries and invoice assistance as needed
- Excellent customer service and communication skills
- A proactive mindset with a passion for problem-solving and process improvement
- Proven experience in administration
- Proficient in organisation, prioritisation, and efficiency
- Demonstrated honesty and integrity
- Exceptional attention to detail
- Proven team player
- Adaptability to changing circumstances
- Proficiency in Microsoft Office, especially Excel functions and Word templates
- Willingness and capacity to take on additional responsibilities
- Ability to work autonomously and efficiently
- A minimum of 5 years' experience in administration and/or customer service
- Experience in a healthcare organisation is an advantage but not essential
