Job Title: Leasing Coordinator

About the Role:

We are seeking an experienced Leasing Coordinator to oversee lease administration for all subsidiaries. This role involves ensuring accurate lease documentation and compliance with standard landlord templates or company policies.

Key Responsibilities:

  • Manage the Agreement to Lease and Lease review, negotiation and documentation process
  • Prepare lease summaries and arrange director execution of documentation
  • Maintain the property database accurately
  • Provide administrative support for leasing issues and requirements
  • Manage all Lease Administration related communications
  • Prepare and distribute ad-hoc reports via the lease management tool
  • Mark-up ITL/Heads of Agreement documents and request amendments as necessary
  • Monitor leasing matters and follow up with customers to ensure timely completion of pre-trade requirements
  • Invoice and receive fitout contributions in a timely manner
  • Coordinate advance rent and insurances for new stores
  • Upload and report monthly sales figures
  • Review and approve the monthly rent roll
  • Assist with preparing annual property budgets

Requirements:

  • Minimum five years' experience in lease administration and retail property teams
  • Relevant tertiary qualifications in law or contract administration
  • Experience using lease management tools
  • Strong understanding of retail property legislation and retail lease documentation
  • Ability to prioritize and multitask in a demanding environment
  • Ability to influence others in a positive way
