Facilities Manager Job Description

This is an exciting opportunity to work as a Facilities Manager in a professional services office environment. As a key member of our team, you will be responsible for the day-to-day management of our facilities, ensuring that they meet the operational and employee experience needs of our business.

Job Responsibilities:
  • Project Coordination & Office Fit-Outs: You will oversee the coordination of projects, including office fit-outs, refurbishments, and relocations, ensuring seamless transition into Business-as-Usual (BAU) operations.
  • Health, Safety & Compliance: You will lead the implementation and monitoring of Occupational Health & Safety (OH&S) policies across all Australian office locations, conducting routine safety inspections, risk assessments, and incident investigations.
  • Vendor & Contract Management: You will manage vendor relationships, including contract negotiation, SLA adherence, and performance reviews, ensuring timely delivery and quality standards.
  • Preventative Maintenance & Emergency Preparedness: You will develop, implement, and communicate preventative maintenance schedules for all facilities assets, establishing and regularly updating emergency response plans.
  • Daily Facilities Operations: You will oversee day-to-day operations across DWF's Australian offices, including cleaning, waste management, and utilities, ensuring stock control of facilities-related materials and equipment.
Required Skills and Qualifications:
  • Australian OH&S certification and proven experience in a professional services office environment.
  • Proven experience in multi-site facilities management, preferably in office environments.
  • Strong organisational and multitasking skills and strong attention to detail.
  • Self-starter and willingness to proactively manage the facilities function to ensure zero downtime of the services.
  • Excellent verbal and written communication skills with stakeholder management abilities.
  • Familiarity with building systems, safety protocols, and vendor coordination including Contract handling and SLA measurements.
  • Knowledge of Mechanical, Electrical, Plumbing, HVAC, and other technical building systems.
  • Understanding of accounting and finance principles, experience planning and maintaining facility budgets.
  • Landlord liaising.
  • Hands-on leadership and problem-solving skills and experience.
  • Good with data gathering, analysis, and reporting.
  • Experience in handling internal and external audits.
  • Experience with office fit-outs, refurbishments, and managing office space transitions from vendors and landlords.
  • Knowledge of office leasing.
