Job Overview:

A diligent and organized individual is required to manage the day-to-day operations of our office as a Front Desk Coordinator.

Key Responsibilities:
  1. Assist in the coordination of administrative tasks, including mail/couriers, deliveries, picking up supplies and catering orders.
  2. Maintain the cleanliness and organization of public areas throughout the day, including the kitchen area and meeting rooms.
  3. Coordinate events and activities for the office, including client meetings and company-sponsored industry events.
  4. Enter expenses and credit card reconciliation with accuracy.
  5. Contribute to office health and safety management, including visitor sign in, office safety checks, maintenance of safety equipment and vehicle maintenance.
  6. Support project managers in drafting proposals and tenders, including compilation, review, formatting and submission of documents.
  7. Provide assistance with deliverables, including MS Word formatting, collation of information, scanning and binding, data entry, and ad-hoc requests.
  8. Arrange travel and accommodation for staff and assist with expense claims.
  9. Offer general support to the Office Manager, other managers and technical support staff as needed.
Requirements:
  • 2-3 years' experience in an administrative role.
  • Excellent organizational skills with strong multitasking abilities and adaptability.
  • A positive attitude with an energetic approach to tasks.
  • Intermediate to advanced knowledge of Word, Outlook, PowerPoint and Excel.
  • Exceptional communication skills (written and verbal).
