Scotford Fennessy is seeking an Administrative Support Specialist to join their Perth office.

The ideal candidate will provide administrative support to the Executive Assistant, ensuring smooth operations in the Head Office by managing tasks, coordinating schedules, handling communication, and providing support to various departments or teams as needed.

Key Responsibilities:

  • Manage incoming calls with a professional telephone manner, taking messages.
  • Manage the Perth reception inbox.
  • Greet visitors, couriers, and monitor the door camera.
  • Manage and order stationery items and kitchen supplies, catering for morning tea, board meetings as required.
  • Administer duties in INX, including entering leave applications for all corporate staff and updating information as needed.
  • Update and establish procedures for Reception Admin.
  • Arrange corporate staff travel to site via Corporate Travel Management/Lightning online portal – set up profiles, book flights, accommodation, and hire cars.

Requirements:

  • Excellent communication skills both written and verbal are essential.
  • High multitasking abilities are paramount for this role.
  • Previous experience in a similar administration role.
  • Strong computer and systems skills and knowledge (MS Office Suite).
