Facilities Manager Assistant

We are seeking a highly skilled and experienced Assistant Facilities Manager to join our team at Keegan Adams. As a key member of our facilities management team, you will play a critical role in supporting the day-to-day management of our facilities, stakeholder engagement, building operations, and vendor management.
Key Responsibilities:- Schedule and coordinate both preventative and reactive maintenance activities to ensure the smooth operation of our facilities.
- Coordinate with vendors and contractors to attend site for maintenance work, ensuring timely and efficient completion of tasks.
- Prepare and submit purchase orders for related goods and services, ensuring compliance with company policies and procedures.
- Request quotations and submit work permits as required, ensuring that all necessary documentation is completed accurately and on time.
- Perform ad-hoc duties such as managing the internal mailbox, processing security forms, handling invoices, and maintaining records, as required.
- 2+ years of experience in facilities management, property management, or a related field.
- Strong ability to prioritize tasks and manage multiple projects efficiently, with excellent organizational and time management skills.
- Ability to identify challenges and develop effective solutions, with a proactive and results-driven approach.
- Excellent verbal and written communication skills to engage with diverse stakeholders, including colleagues, vendors, and clients.
- Ability to obtain a clearance to work with children in NSW, or already hold a clearance.
