Role Overview

We are seeking a highly skilled Administrative Support Specialist to provide exceptional administrative support to our senior management team.

This is a permanent full-time role based in Sydney, offering a competitive annual salary of AU$85,000 - AU$95,000, depending on experience, plus performance-based bonuses.

Job Description

The successful candidate will be responsible for:

  • Diary Management: Coordinating and managing the diaries of our Head of Office and Executive Managers.
  • Financial Administration: Processing monthly credit card statements, submitting reports for approval, and managing account queries.
  • Procurement: Organizing purchase orders, processing invoices, and managing supplier relationships.
  • Coordinating New Starter Arrangements: Setting up new employees with security requests, building access, workstations, laptops, telephony, and Chrome River expense system.
  • Maintaining Organizational Charts: Ensuring accurate and up-to-date organizational charts.
  • Data Accuracy: Verifying data accuracy on OPS and updating as necessary.
  • Suncorp Intranet Directory and SharePoint Directory: Maintaining accurate and up-to-date directories.
  • Reporting: Compiling monthly reports for business leaders.
  • Other Administrative Tasks: Performing other administrative duties, including maintaining stationery and ordering promotional items.
  • Team Accommodation Requirements: Managing team real estate accommodation requirements through Serraview.
  • Travel Arrangements: Booking flights and accommodations.
  • Ad Hoc Tasks: Assisting with various ad hoc tasks as required.
Requirements

To be successful in this role, you will need:

  • A minimum five (5) years of experience as an Executive Assistant or similar role in a corporate environment.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint) and Nitro.
  • Excellent communication skills, both written and verbal.
  • Prioritization and time management skills, with ability to work under pressure.
  • Attention to detail.
  • Commitment to teamwork and collaborative working style.
