We are a dynamic organization seeking an Administrative Support Specialist to manage our front desk on a daily basis. This role is responsible for performing a variety of administrative and clerical tasks, ensuring the smooth operation of our office.

Job DescriptionResponsibilities:
  • Greet and welcome guests as they arrive at the office, providing exceptional customer service and making a positive first impression.
  • Direct visitors to the appropriate person or office, demonstrating excellent communication skills and attention to detail.
  • Answer, screen, and forward incoming phone calls in a timely and professional manner.
  • Maintain the reception area in a tidy and presentable condition, ensuring all necessary stationery and materials are readily available.
  • Provide accurate and helpful information to guests and colleagues via phone, email, or in-person.
  • Receive, sort, and distribute daily mail and deliveries efficiently and effectively.
  • Ensure office security by adhering to safety procedures and controlling access through the reception desk.
  • Order front office supplies and maintain an inventory of stock to prevent running out of essential items.
  • Update calendars and schedule meetings with ease, utilizing your organizational skills to prioritize tasks.
  • Arrange travel and accommodations, preparing vouchers as needed.
  • Keep accurate records of office expenses and costs, providing valuable insights for budget planning.
  • Perform other clerical duties as required, showcasing your adaptability and willingness to assist.
Requirements:Essential Skills and Qualifications:
  • Proven work experience as an Administrative Support Specialist or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Hands-on experience with office equipment, such as printers and scanners.
  • Professional attitude and appearance, reflecting positively on IIQAF's brand.
  • Solid written and verbal communication skills, enabling effective collaboration with colleagues and stakeholders.
  • Ability to be resourceful and proactive when faced with challenges, resolving issues promptly and efficiently.
  • Excellent organizational skills, prioritizing tasks and managing time effectively.
  • Multitasking and time-management skills, with the ability to adapt to changing priorities and deadlines.
  • Customer service attitude, providing exceptional support to internal and external clients.
  • High school degree; additional certification in Office Management is highly valued.
Benefits:

As an Administrative Support Specialist at IIQAF, you can expect a competitive salary of $45,000 - $55,000 per annum, depending on your level of experience and qualifications.
