Job Title: Document Coordinator

This role involves overseeing and maintaining document control processes and systems to ensure seamless project execution. The ideal candidate will possess a strong background in document control, excellent communication skills, and the ability to work independently.

  • Establish and maintain document control processes and systems;
  • Ensure that all documentation is correctly categorized, indexed, and filed for easy retrieval and reference;
  • Prepare project documentation for submission to clients as required and collaborate with project teams to deliver high-quality results;
  • Distribute project documents to relevant stakeholders in a timely and efficient manner ensuring effective project coordination and communication;
  • Retrieve documents as requested by project team members, ensuring quick and accurate responses to document retrieval requests;
  • Maintain logs and tracking systems to monitor document distribution and retrieval activities, identifying areas for process improvement;
  • Provide support for project managers and team members with document-related tasks and contribute to the preparation and distribution of meeting minutes, reports, and other project documentation as needed;
  • Identify opportunities for process enhancements and implement changes to optimize document control efficiency and accuracy.

Requirements:

  • Certificate IV in Document Control or equivalent experience and a strong understanding of document management principles;
  • 2-3 years' experience in a similar role with a proven track record of delivering high-quality results;
  • Proficiency in document control software and Microsoft Office Suite and SharePoint, with a focus on innovation and technology adoption;
  • Strong written and verbal communication skills with the ability to effectively communicate with diverse stakeholders.
