We are seeking a skilled professional to fill the role of Medical Education Coordinator.

This position involves managing event logistics, travel arrangements, compliance processes, and budgets. You will work closely with internal teams and external partners to deliver high-quality events.

The ideal candidate will have experience in event coordination, preferably in healthcare or regulated industries. Strong organizational skills, excellent relationship-building abilities, and proficiency in Microsoft Office suite are essential.

You will be responsible for:

  • Planning and coordinating medical education events across Australia and New Zealand.
  • Managing registrations, promotional materials, and event reporting.
  • Acting as the main contact for venues, travel providers, catering, AV, and other vendors.

Key Responsibilities:

  1. Plan and coordinate all medical education events in Australia and New Zealand, from local workshops to inter-regional programs.
  2. Manage registrations, promotional materials, websites (including event platforms like CVENT), and event reporting.
  3. Act as the main contact for venues, travel providers, catering, AV, and other vendors.

Additional Responsibilities:

  1. Handle all participant travel bookings in line with company policy.
  2. Ensure smooth delivery of all on-site event activities (travel approximately 20% of the time).
  3. Prepare and manage event documentation to meet global compliance standards.
  4. Maintain accurate records in compliance systems (e.g., Medispend) and support internal and external audits.
  5. Process and reconcile event-related expenses via systems such as Concur.
  6. Monitor budgets, track expenses, and handle accruals.

Requirements:

  1. Proven experience in event coordination, preferably in healthcare, medical devices, or regulated industries.
  2. Strong organisational skills with an ability to manage multiple priorities and meet deadlines.
  3. Excellent relationship-building and communication skills.
  4. Confident working with systems like CVENT, Concur, Medispend (or willingness to learn).
  5. Proficiency in Microsoft Office suite and comfort working with data and reporting.
  6. Qualification in business administration or event management is ideal.
