Job Title: Operations Coordinator

Job Description:

The Office Manager plays a crucial role in supporting day-to-day operations. Key responsibilities include managing administrative tasks, coordinating office activities, and providing support to teams to ensure smooth work environments.

Key Responsibilities:

  • Manage all office operations, scheduling meetings, maintaining calendars, and handling correspondence.
  • Assist new employees with onboarding, preparing documents, arranging training, and setting up workstations.
  • Coordinate supplier onboarding and maintain employee records ensuring confidentiality and compliance.

Financial Administration:

  • Monitor office budget tracking and reporting.
  • Prepare project billing and account receivable reports.
  • Maintain accounts payable function ensuring invoices are input into the system with adequate documentation.
  • Set up projects within accounting software and assist with financial reports.

Communication and Coordination:

  • Act as primary point of contact for internal and external communications ensuring effective information flow.
  • Coordinate travel arrangements and logistics for staff attending site or client meetings.

Team Support:

  • Organise company events, training sessions, and team activities.
  • Mentor and support administrative team members.
  • Maintain training registers and ensure compliance within the team.
