We're seeking an experienced Administrative Support Specialist to join our team and play a vital role in ensuring seamless communication and coordination between clients and financial planners.
About You :
- You hold a Victorian Certificate of Education or Certificate in Business Administration or equivalent.
Job Summary :
This role involves providing exceptional administrative support to our team, ensuring smooth day-to-day operations, and maintaining a clean and professional office environment.
Key Responsibilities :
- Assist with calendar and diary management to ensure timely meetings and appointments
- Perform general reception duties, welcoming clients and directing them to relevant team members
- Answer incoming phone calls and direct them to the correct team member
- Manage the company's email inbox, directing inquiries and correspondence to relevant team members
- Handle mail and deliveries, including distributing income correspondence and outbound postage
- Provide general administration and assistance during client appointments, including scanning and filing documents
- Maintain a clean and organized workspace, adhering to company standards
- Prepare and print physical files for client appointments
- Offer general information and assistance to clients and visitors
- Support the client services managers and other team members with clerical duties, as required
- Assist with travel and accommodation arrangements, as well as catering for business functions
