Southbank, Victoria, Australia Australian Government Department of Defence Full time

Position Overview

We are seeking highly driven individuals to provide essential administrative support to senior management responsible for the procurement and maintenance of sophisticated equipment for the Australian Defence Force.

As an Executive Assistant, you will autonomously oversee the office of a senior leader while collaborating effectively with other team members.

With minimal oversight, your responsibilities will encompass managing a busy email inbox, coordinating calendars, drafting correspondence, organizing meetings, welcoming visitors, arranging travel logistics, preparing briefing materials, and maintaining office systems and records utilizing Microsoft Office, Objective, and Financial Management Systems.

In addition to primarily assisting a senior executive, this role will also extend general administrative support to the branch as needed.

The capacity to proactively manage tasks and anticipate the needs of the senior executive is vital, alongside a high degree of discretion, judgment, and the ability to juggle competing priorities.

About Our Team
The Capability Acquisition and Sustainment Group (CASG) plays a crucial role within the Department of Defence.

This group is responsible for procuring and maintaining military equipment and supplies in the necessary quantities and service levels as mandated by Defence and approved by Government.

Within CASG, the Land Domain focuses on acquiring and supporting designated land systems for the Australian Defence Force.

The Land Systems Division is committed to offering our staff a diverse, manageable, and favorable work-life balance, and we advocate for flexible working arrangements.

We are dedicated to investing in your training and development to ensure your experience with us is profoundly rewarding, both personally and professionally.

We strive to cultivate a workplace culture that is inclusive and diverse, reflecting the varied operational requirements of Defence.

Ideal Candidate Profile

You will possess relevant experience or demonstrable skills in supporting senior executives and will be capable of working independently with minimal supervision. Your ability to engage with an integrated workforce (military and civilian) at all levels in a dynamic environment, while meeting tight deadlines, will enable you to provide seamless support to the senior executive.

Proficient across all areas of executive support, you will utilize your initiative to make informed decisions, adopt a collaborative approach, and demonstrate excellent communication skills to interact with a range of stakeholders.

Additionally, you will have a strong appreciation for confidentiality and the ability to exhibit a high degree of professionalism.

Furthermore, you will possess meticulous attention to detail, be task-oriented, solutions-focused, and capable of working autonomously or as part of a team.

As an APS4 Executive Assistant, you will undertake moderately complex administrative support tasks.
