Job Title:

Contract Coordination Specialist

Job Summary:

The Contract Coordination Specialist is responsible for developing and maintaining reporting tools, providing analysis and insights to the management team, drafting and managing communications with contractors, and basic contract management of contracts related to re-accreditation audit services.

Key Responsibilities:

  • Prepare clear, concise, and articulate communications for contractors and stakeholders
  • Support the Assistant Director Contract Management with drafting contracts and variations, arranging execution, recording, and maintaining contract information, and ensuring contract records are securely saved
  • Proactively manage contractor performance to ensure the team achieves required performance
  • Support the Assistant Director Contract Reporting in identifying, costing, monitoring, and managing emerging risks
  • Collaborate with the Contract Officer on purchasing, reviewing, and analyzing payment claims/invoices, resolving disputes, and recording payment information
  • Support the Assistant Director Contract Reporting and collaborate with the Contract Reporting Officer on contract analytics and reporting
  • Provide meeting secretariat support, including coordinating meetings, preparing agendas, taking minutes, and actions, and undertaking other activities as requested

Requirements:

  • Excellent written and verbal communication skills
  • Demonstrated experience and knowledge of contracts and procurement
  • High level attention to detail, accuracy, and thoroughness in work undertaken
  • Exceptional problem solving and analysis skills
  • Demonstrated experience in critical analysis, data interpretation, and conceptual skills
  • Good time management and organizational skills, with the ability to handle multiple tasks simultaneously and manage competing priorities
  • Culturally resilient and capable of managing and supporting change in a challenging environment
