About the Role

We are seeking an Administrative Coordinator to provide high-level administrative support across various functions, ensuring seamless office operations and exceptional client services. The successful candidate will be responsible for general administration, clerical tasks, ASIC compliance, client experience, and team coordination.

Key Responsibilities:
  • Manage correspondence, phone calls, office supplies, and backup the Client Experience Officer.
  • Support business functions with data entry, file organization, and preparation of client documentation, while maintaining the archiving process and mail distribution.
  • Assist in managing ASIC compliance, including form preparation, company register maintenance, and supporting the team with ASIC-related documentation.
  • Welcome clients and visitors, coordinate meetings, and provide administrative support for presentations and materials.
  • Maintain office cleanliness and functionality, oversee facilities management, and ensure health and safety regulations are met.
  • Collaborate with team assistants and the Practice Management Group, support firm-wide meetings and events, and contribute to updating and maintaining firm policies and processes.
Requirements:
  • High school qualification or equivalent, with experience delivering high-level support in an administrative role.
  • Proficient typing speed of 60 wpm and 98% accuracy.
  • Excellent organizational and time management skills, with attention to detail and multitasking abilities.
  • Strong communication and interpersonal skills, with a professional demeanor.
  • Ability to work independently, with supervisors, and staff.
  • Familiarity with MS Office Suite products, including Word, Excel, Outlook, and Teams.
