Job Description:
We are seeking a highly organized and detail-oriented Administrative Operations Coordinator to join our team at Michael Page. This role will play a crucial part in supporting our sales team and ensuring seamless administrative operations.
About the Role:
As an Administrative Operations Coordinator, you will be responsible for managing customer orders, providing administrative support for warranty functions, and ensuring customer satisfaction through proactive management of sales and administration processes.
- Manage customer orders using Oracle (POs, receipting, invoicing).
- Update order status and explore alternatives as needed.
- Coordinate with ports, customers, transport, and factories for fulfillment.
- Handle sales calls, faxes, and emails professionally.
- Resolve customer inquiries and follow up until resolved.
- Oversee credit requests and coordinate with suppliers and Finance.
- Prepare Dealer quotations and manage correspondence.
- Support sales administrators during peak times or absences.
- Collaborate with sales managers on stock levels and deliveries.
- Ensure database accuracy and update product catalogues.
- Support promotional activities and office operations.
- Coordinate with ports, customs, and regulatory bodies.
- Work with offshore support to streamline local activities.
Warranty Support:
You will also be responsible for processing warranty calls, faxes, and emails professionally, resolving customer queries, and managing warranty documentation.
The Ideal Candidate:
We are looking for a candidate with experience in administrative or sales support, preferably in a similar manufacturing industry. Proficiency in Oracle or similar ERP systems is desired but not necessary.
- Strong organisational and multitasking skills.
- Can do attitude.
- Excellent communication skills.
- Ability to work independently and in a team.
- Customer-focused with proactive problem-solving skills.
- Experience with warranty processes is a plus.
What We Offer:
In return for your hard work and dedication, we offer a competitive salary ranging from $65,000 to $80,000 per annum, depending on experience, plus opportunities for training and further development within our business.
