Freight Forwarding Coordinator

Ensuring seamless cargo handling is crucial in freight forwarding. The Freight Forwarding Coordinator plays a pivotal role in managing import and export airfreight processes, guaranteeing timely and compliant cargo handling.


Key Responsibilities:
  • Develop run sheets for Direct AWB terminal collection (Imports) and coordinate with drivers to arrange collection, ensuring accuracy and timeliness.
  • Update milestones for POD and note any expectations to add quality control events (QCT) in the Tango system.
  • Verify that import freight is customs cleared before delivery, adhering to regulatory requirements.
  • Assist in locating misplaced cargo by tracing with terminals, customers' warehouses, and Schenker warehouse.
  • Attend QF daily operation meetings, providing statistics on import and export shipments to inform business decisions.
  • Follow up with customs-held import shipments with brokers when required, ensuring minimal disruptions.
  • Chase customers for additional clearance information to prevent delays.
  • Arrange DAFF inspection bookings with brokers or external DAFF depots for required inspections.
  • Handle export registration and EDNs efficiently, meeting deadlines.
  • Negotiate with airlines to secure the best rates for clients.
  • Arrange airline bookings with carriers in line with customs service requirements (e.g., Routine, Critical, AOG).
  • Email export pre-alert documents to destination offices as required, maintaining clear communication.
  • Coordinate with drivers to lodge export cargo daily, ensuring accuracy and timeliness.
  • Ensure accurate cost reserving for terminal fees and airline fees on each shipment, optimizing expenses.
  • Respond promptly to all incoming emails, addressing client inquiries and concerns.
  • Label all courier export shipments collected by UPS.
  • Assist with AOG Desk requests such as completing registrations, carrier bookings, and transport courier bookings.
  • Continuously learn and adapt to different systems used in the role, enhancing skills and productivity.
