About the Role

The Executive Assistant plays a critical role in providing high-level administrative support to the Executive Director of the Future Students Office at UNSW Australia.

Key Responsibilities
  • Provide executive support to the Executive Director, including coordinating their time, resources, and documentation.
  • Act as the first point of contact for internal and external stakeholders, maintaining effective communication channels and interpreting requests and correspondence.
  • Undertake diary, email, and document management, including monitoring and prioritizing emails and assisting with response preparation.
  • Coordinate expense management, travel bookings, room/facility bookings, catering, stationery, and IT equipment requirements in line with UNSW policy and procedures.
Requirements
  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training, and experience.
  • Strong written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • High-level organisational skills with proven ability to deal with multiple tasks, establish priorities, and meet deadlines.
  • Excellent interpersonal skills with ability to liaise effectively with all levels of staff and external stakeholders.
  • Advanced level of computer literacy, working with a range of computer systems and applications, including MS Office, MS Teams, Adobe Creative Cloud, and Trello/Confluence.
  • Superior time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks, and meet competing deadlines using judgement and initiative.
  • Proven organisational skills and the ability to operate autonomously while demonstrating strong initiative and a proactive approach to driving process improvement.
  • An understanding of and commitment to UNSW's aims, objectives, and values in action, together with relevant policies and guidelines.
  • Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
