Role Overview
We are seeking a highly organized and proactive individual to serve as an Executive Assistant to our President of Fleet & Procurement. This pivotal role requires a keen attention to detail and exceptional communication skills. Key responsibilities include:
- Acting as the primary liaison for the President, effectively managing urgent matters to optimize their time.
- Overseeing complex scheduling, including negotiating appointments and meetings to balance competing priorities.
- Coordinating travel arrangements and detailed itinerary planning.
- Identifying areas for improvement to enhance the efficiency of administrative operations within the Fleet and Procurement division.
- Leading special projects and events, including the creation of impactful presentations and reports.
- Preparing and reviewing high-level communications to ensure accuracy and timeliness.
- Assisting with cyclical human resource processes, such as performance review scheduling and leave management.
Candidate Profile
This role is designed for a creative thinker who is driven and can significantly contribute to our organizational success. The ideal candidate will possess:
- A minimum of 10 years of experience as an Executive Assistant or Project Coordinator supporting senior executives.
- Outstanding organizational and time management skills, with the ability to multitask and prioritize effectively.
- Exceptional verbal and written communication skills for clear interactions with stakeholders.
- Strong analytical and research capabilities to provide insights for decision-making.
- Proficiency in MS Office, especially in developing engaging presentations.
- The ability to adapt to changing priorities and perform well under pressure.
