Job Summary

The Senior Document Management Specialist plays a vital role within the Project Management Office. This position is responsible for the management, distribution, control and storage of project documents, ensuring their accurate processing and recording within the organisation. The role demands effective utilisation and integration of the InEight (Teambinder) document control system.

Key Responsibilities
  • Implement and maintain document control procedures and tools for the collection, distribution, and filing of controlled documents.
  • Ensure the accurate processing and recording of documents within the InEight document control system and TRIM recordkeeping system.
  • Ensure the document control processes comply with corporate standards and procedures, adapting to evolving requirements.
  • Provide training and support to project team members and to the contracting partners on document control systems and procedures.
  • Conduct QA/QC audits of document control files to ensure compliance with InEight protocols.
  • Collaborate with internal and external stakeholders to facilitate effective document control processes.
  • Provide coaching, guidance and mentoring to other Document Controllers in the team and to the contracting partners.
Risk Management and Occupational Health & Safety Responsibilities
  • Understand and comply with OHS policies, procedures and legislative requirements relevant to the position.
  • Perform work in a safe and appropriate manner.

  • Proactively report any incidents, injuries, hazards or unsafe work practices.
Requirements
  • A minimum of six years of Document Control experience in supervising, establishing, reviewing and maintaining document control systems with at least three years in an engineering and construction project.
  • Demonstrated experience with routine Document Control hardware and software, including systems that interface with platforms like InEight.
  • Proven experience in managing multiple stakeholders (Engineers, Consultants, and subcontractors) through the full project lifecycle.
  • Ability to improve document control practices and system engagement and resolve document control issues.
  • Strong problem-solving skills, essential for establishing new procedures and systems in a dynamic environment.
