Job Title: Workplace Services Coordinator

Job Summary: We are seeking a highly organized and detail-oriented individual to join our team as a Workplace Services Coordinator. In this role, you will be responsible for managing operational office services, including concierge duties, catering coordination, event planning, and overseeing daily office operations.

Key Responsibilities:

  • Front Desk Coordination - Greet and assist visitors and customers with professionalism and warmth.
  • Coordinating day-to-day operations and ensuring office aesthetics are best in class.
  • Providing comprehensive assistance in all concierge tasks for employees and supporting regular onsite customer meetings.
  • Assisting in coordinating and managing food and catering services as needed.
  • Ensuring office spaces, including meeting rooms, kitchen areas, and common areas, are kept clean, organized, and well-maintained.
  • Handling of all mail correspondence in the office, including promptly directing physical mail to appropriate recipients, efficiently processing incoming and outgoing mail and packages, and assisting with shipping and receiving courier services.
  • Overseeing office supplies inventory by placing orders and ensuring timely delivery, while maintaining accurate records and prioritizing waste reduction.
  • Managing costs and ensuring alignment with approved budgets.
  • Coordinating with other stakeholders for events and initiatives.
  • Working with landlords/vendors to ensure office space is kept up to standards with all compliances.
  • Providing general support to visitors and reception services as needed.
  • Responding to employee queries and managing incoming tickets.
  • Managing Health & Safety requirements and ensuring compliance with local laws.
  • Assisting on regional projects.
  • Overseeing the management of building security access cards and preparing new cards.
  • Processing P-card/credit card transactions via Concur.
  • Assisting with managing invoices by providing Accounts Payable with necessary details.
  • Assisting in IT-related tasks as needed.

Requirements:

  • Degree level - Graduate or Undergraduate
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, SharePoint, and PowerPoint)
  • Excellent customer service skills
  • Efficient work methods and ability to handle multiple tasks in a fast-paced and challenging environment
  • Highly organized, self-working individual who works well without supervision
  • Must be a team player with excellent organizational and multitasking abilities
  • Excellent verbal and written communication skills
