- Coordinating and distributing Board and Committee packs using Diligent is a critical aspect of this role, requiring organisational and time-management skills.
- Completing post-meeting tasks, such as updating registers and records, ensures accuracy and compliance.
- Meeting Logistics:
- You will assist the Board Executive Liaison with scheduling and organising meetings, ensuring seamless execution and minimal disruptions.
- Providing day-of support to ensure all meeting logistics are in place requires a keen eye for detail and excellent problem-solving skills.
- Coordinating travel, calendar bookings, and accommodation for Board members demands flexibility and adaptability.
- Processing expenses and handling credit card reconciliations promptly maintains transparency and accountability.
- Administrative Support:
- Managing diaries, including scheduling for the Head of Company Secretariat, requires strong organisation and prioritisation skills.
- Coordinating Director and Committee Advisor inductions and training sessions promotes knowledge sharing and best practices.
- Maintaining statutory records and submitting ASIC lodgments ensures regulatory compliance and adherence to industry standards.
- Ensuring up-to-date content on the website and intranet for the Company Secretariat maintains visibility and accessibility.
- Compliance and Documentation:
- You will assist with Fit and Proper Assessments and maintain related records, ensuring accurate and compliant documentation.
- Facilitating document execution processes (e.g., via DocuSign) requires proficiency in electronic signature tools and systems.
- Responding promptly to auditor, regulatory, and other information requests demonstrates a commitment to transparency and responsiveness.
- Maintaining and updating procedures, checklists, and registers ensures accuracy and consistency across the Company Secretariat team.
About You:
To succeed in this role, you will require proven experience as an Executive Assistant or in a similar role supporting Boards and Committees. Your understanding of corporate governance and company secretarial duties should be robust, with excellent administration and organisational skills.
A high degree of proficiency with board management software (e.g., Diligent) and document execution tools (e.g., DocuSign) is essential, along with exceptional written and verbal communication skills and a keen eye for detail.
