We are seeking a highly organised and proactive Office Manager to join our Sydney team.
The successful candidate will be responsible for overseeing the daily operations of our studio, ensuring a smooth and efficient working environment.
- Key Responsibilities:
- Manage the day-to-day activities of the office, including greeting visitors, vendors, and deliveries.
- Coordinate facilities maintenance, liaising with landlords and service providers.
- Oversee the management of office supplies, stock levels, and procurement.
- Ensure all studio spaces are clean, tidy, and fit-for-purpose.
- Act as Health & Safety Representative and First Aid Officer (training provided if required).
- Coordinate relationships with suppliers and contractors, ensuring value and service quality.
- Support leadership and HR teams with onboarding processes, desk assignments, and space planning.
- Assist with travel coordination, meeting logistics, and other administrative tasks.
- Collaborate with IT to ensure smooth tech operations in shared spaces.
- Manage building access, security processes, and emergency protocols.
- Design and implement initiatives that enhance employee engagement and workplace culture.
- Organise and manage internal events, wellbeing initiatives, celebrations, and team-building activities.
- Maintain up-to-date studio policies, office manuals, and emergency response procedures.
- Process studio-related invoices and support budget tracking alongside the Operations Lead.
- Assist in implementing sustainability within the workspace.
- Support Leadership Team with expenses and administrative tasks.
- Manage the office offsite storage facility.
- Prior experience as an Office Manager, Facilities Coordinator, or similar administrative/operational role.
- Exceptional organisational and multitasking skills with a keen eye for detail.
- Ability to communicate clearly and effectively across all levels.
- Skilled in managing vendor relationships and studio services procurements.
- Familiar with managing workplace safety, compliance, and emergency procedures.
- Comfortable working in a creative agency or fast-moving studio environment.
- Proficient in Microsoft Office Suite and Google Workspace (Docs, Sheets, Calendar).
- Strong sense of initiative with the ability to foresee and resolve issues before they arise.
