Executive Assistant Role

Our organization is seeking a highly skilled and organized individual to serve as an Executive Assistant. This key support role will provide comprehensive assistance to senior management, the Board of Directors, and oversee office operations.

Key Responsibilities
  • Manage calendars, prepare expense reports, draft correspondence, arrange travel plans, and compile documents for meetings.
  • Perform various clerical tasks, create letters, memos, invoices, and other documents for the Board of Directors.
  • Schedule and attend meetings, take notes, and record minutes as needed.
  • Coordinate agendas, senior management team meetings, board meetings, off-site meetings, and all staff gatherings.
  • Review and summarize incoming communication, determine importance, and distribute contents to staff.
  • Act as an administrative liaison to the Board of Trustees.
  • Oversee preparation for Board of Trustee meetings.
  • Maintain office records, files, supplies, and perform basic bookkeeping.
  • Ensure proper maintenance of office equipment, including cleaning and repairs.
  • Oversee document retention policies.
  • Accurately maintain human resource files, records, and documentation.
  • Provide guidance to applicants and employees on standard policies, benefits, hiring processes, etc.
  • Maintain confidentiality of human resource files and records.
  • Offer clerical support to the HR function.
  • Assist with payroll functions, including processing, answering employee questions, fixing errors, etc.
  • Facilitate communication between our organization and external benefits providers and vendors.
  • Support planning and execution of special events, such as benefits enrollment and employee recognition events.
