About the Role

Diverseco is seeking a highly organised and professional Service Support Administrator to support our Rowville based Service Team.

This is an exciting opportunity to join a dynamic team and contribute to the success of our organisation.

Key Responsibilities
  • Process all administrative tasks relating to branch operations, including mail and freight processing, order office consumables, and coordinating branch meetings and filing.
  • Provide administrative assistance to the State General Manager and Service Supervisor.
  • Process internal orders, including invoices, freight invoices, and supplier invoices, and compile and approve payment lists.
  • Liaise with customers, suppliers, management, and staff to ensure excellent service.
  • Assist the Service Supervisor with service scheduling and operational tasks, including answering service calls, preparing quotations, booking customer service requests, and invoicing.
  • Organise incoming and outgoing freight for sales customers in conjunction with dispatch.
  • Assist the State General Manager with stock control and coordinating stock takes.
  • Ensure employee safety is a top priority with zero major/lost time injuries.
Requirements
  • Well-developed administration skills with excellent planning and coordination abilities.
  • Excellent teamwork skills to work as part of a team to achieve team goals and individual goals.
  • Exceptional customer service skills, including a professional telephone manner, attentiveness, and patience.
  • Strong financial background with Accounts Payable, Invoicing, Purchase Orders, and Debt Collection.
  • High-level organisational skills.
  • Ability to communicate effectively by phone and email.
  • Strong proficiency in Microsoft Packages.
  • A positive, flexible, adaptable, can-do attitude and approach.
  • Extraordinary interpersonal skills.
  • Strong attention to detail.
  • Flexibility to work extra hours when required.
  • Ability to manage multiple tasks and prioritise.
  • Ability to work as a team player with a can-do attitude.
  • Proactive approach and willingness to assist others and contribute to the smooth operations of the business.
  • A current Australian driver's licence.
  • A valid right to live and work in Australia.
  • Previous experience in a customer service or office administration support role is advantageous.
  • Certificate III in Business Administration or related fields is highly regarded.
