Job Overview

This role involves overseeing all aspects of administrative tasks, basic accounts, and project coordination.

  • Ensure efficient office administration, including email management, communication, and document control.
  • Schedule meetings, coordinate calendars, and provide team support to maintain a smooth workflow.
  • Maintain accurate internal systems, records, and supplier/client communications.
Accounts Management
  • Process payments and receivables in a timely manner.
  • Generate invoices for clients with accuracy.
  • Collaborate closely with the Accountant to ensure financial accuracy and compliance.
  • Utilize Xero to manage day-to-day transactions and generate reports.
Project Support
  • Use Simpro to assist with quoting, job scheduling, invoicing, and tracking progress.
  • Support the projects team by documenting progress and providing regular updates.
  • Liaise with suppliers, contractors, and clients to ensure timely delivery and quality materials.

The ideal candidate will have previous experience in an Office Manager or Admin All-Rounder role, preferably within the trades, construction, or similar environment.

They must be proficient in Xero and Simpro, possess excellent time management skills, and be confident communicators with strong attention to detail. Proactivity, a solutions-focused approach, and comfort with wearing multiple hats are also essential.
