Administration Assistant

We are seeking a highly organized and proactive Administration Assistant to join our client's team in Sydney City. This dynamic company in the Rail Industry values its employees and offers a supportive work environment.

The ideal candidate will be responsible for ensuring the smooth operation of our office, overseeing day-to-day tasks, and managing office supplies. Key responsibilities include onboarding new employees, managing accounts payable, coordinating travel arrangements, and providing IT support.

Key Responsibilities:

  • Office Management: Oversee day-to-day office operations to ensure a well-organized and functional work environment. Order and manage office supplies, including stationery and business cards.
  • Employee Onboarding: Facilitate the onboarding process for new employees, ensuring a smooth transition into the company. Source and set up IT equipment for new hires. Train new employees on company IT systems and processes.
  • Travel Coordination: Plan and coordinate interstate and international travel arrangements for employees. Ensure travel plans are efficient and cost-effective.
  • Accounts Payable: Process and manage accounts payable transactions. Maintain accurate financial records and assist with financial reporting.
  • IT Support: Provide basic IT troubleshooting and support to employees. Liaise with external IT service providers as needed.
  • Timesheet Management: Collect, review, and manage employee timesheets to ensure accuracy and compliance with company policies.

Qualifications:

  • Proven experience as an Administration Assistant or in a similar role. Strong organisational and time management skills. Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Basic knowledge of IT systems and troubleshooting. Ability to work independently and as part of a team.
  • High attention to detail and accuracy. Experience with accounts payable and financial record-keeping is a plus.
