
High-Level Administrative Support Specialist

As a high-level administrative support specialist, you will play a key part in enhancing operational efficiency and providing expert assistance to senior leaders.
The successful candidate will have 4–6 years of experience in administrative or executive support roles in large corporate environments, ideally with a background in the oil and gas sector.
You will be responsible for:
- Providing high-level administrative support to senior leaders, including diary management, email coordination, and travel arrangements.
- Arranging meetings, workshops, and events, including logistics, agendas, materials, and catering.
- Preparing reports, presentations, and documents; maintaining confidential records and supporting team and departmental initiatives.
- Managing onboarding and induction processes for new starters, including access setup, starter packs, and performance tracking.
- Processing expenses, approvals, service entries, and purchase requisitions accurately using SAP and other internal systems.
- Acting as a focal point for internal systems and processes, including FMS, WiRCS, JiRA, PDL, timewriting, and office maintenance.
- Providing administrative coverage across teams and supporting the Executive Assistant network during leave periods.
Required Skills and Qualifications
- 4–6 years of experience in administrative or executive support roles in large corporate environments, ideally with a background in the oil and gas sector.
- Proven ability to work independently with integrity, discretion, and sound judgment.
- Strong organizational skills and ability to manage competing priorities under pressure.
- Excellent interpersonal and communication skills, both verbal and written, with a demonstrated ability to build high-trust relationships.
- Advanced proficiency in Microsoft Office 365, particularly Outlook, Word, Excel, and PowerPoint.
- Experience using SAP for purchasing tasks, with exposure to S4Hana, SuccessFactors, JIRA, and document management tools.
- Familiarity with regulatory compliance and risk systems; experience with Power BI is advantageous.
- Analytical mindset with strong problem-solving skills and a focus on continuous improvement.
