Job Title: Purchasing Coordinator

About this role:

This position is responsible for coordinating the ordering of products from approved suppliers and supporting the branch network in relation to freight and general parts enquiries.

Key Responsibilities:

  1. Order parts from local and international suppliers to support the branch network.
  2. Oversee the purchasing process to ensure required parts are ordered within parameters.
  3. Coordinate with freight companies to keep shipments moving and work with the National Parts Distribution Centre to prepare for deliveries.
  4. Keep branches updated on order ETAs and respond promptly to branch enquiries.
  5. Work closely with factories and suppliers to maintain a steady supply of parts, flagging and solving general parts supply issues before they become problems.
  6. Monitor stock in transit and resolve any discrepancies with branches.
  7. Review supply chain data, spot potential delays, and share updates with the National Warehouse Supervisor.
  8. Check supplier invoices and ensure they're processed quickly and accurately.
  9. Handle general branch enquiries about parts on a daily basis — including urgent orders, part availability, and order status updates.
  10. Monitor aged parts orders and work to reduce them to zero.

Requirements:

  • Strong administrative skills and confidence using Microsoft Office (especially Excel).
  • Clear and professional communication skills (both verbal and written).
  • Experience or interest in supply chain, logistics, or purchasing (preferred but not essential).
  • Great time management — able to juggle priorities and work independently.
  • Sharp eye for detail and accuracy in data entry and reporting.
  • Proactive problem solver with a customer-service mindset.
  • A team player who's motivated, organised, and ready to learn.
