Administrative Support Specialist

Our team at Pitcher Partners is dedicated to providing exceptional support to our clients and colleagues. We're looking for a highly skilled and experienced Administrative Support Specialist to join our team.
The successful candidate will provide high-quality secretarial and administrative support to our Principals and their teams in our Private Business and Family Advisory division. This will include providing outstanding client service through quality, timely, and cost-effective administrative support.
The role will also involve collaborating with our Practice Management Support personnel to facilitate administrative tasks and requests, implement process improvements, and support internal social events.
Key Responsibilities:
- Provide high-level daily support to our Principals and their teams, including document management, correspondence, and meeting coordination.
- Support our teams with daily/weekly meetings, preparing agendas, documenting minutes, and distributing information packs.
- Prepare correspondence for and on behalf of clients, including Tax Summaries, Bound Packs, and Client Meeting Packs.
- Maintain and update client information across our practice systems to ensure compliance with internal processes and accuracy of information.
- Coordinate team work-in-progress meetings to manage workflow and allocate resources to meet client commitments.
- Promote the interests of our firm to the general community and enhance our brand in the market by representing and championing our firm externally.
Requirements:
- Proficient typist with a minimum typing speed of 60 wpm and 98% accuracy.
- Proficient user of MS Office Suite products, including Word, Excel, Outlook, and Teams.
- Familiar with accounting software, including Xero, Now Infinity, and Practice Ignition.
- Superior written and oral communication skills.
- Strong numeracy skills.
- Strong time management skills with the ability to be agile with changing priorities and deadlines.
Desirable:
- Certificate IV or higher in Business Administration (or similar).
- Experience working in a professional services firm or industry knowledge.
