We are seeking an experienced Administrative Coordinator to join our team at Peak Services. As an Administrative Coordinator, you will be responsible for providing administrative support to our CEO, Office Manager, and NAC Board. This role requires a high level of organizational skills, attention to detail, and the ability to work independently in a remote traditional Aboriginal community.

Key Responsibilities
  • Provide administrative support for NAC and YAC board meetings, including preparation of agendas and minute-taking.
  • Oversee and assist in the submission of time sheets by community members.
  • Perform all tasks necessary to ensure the timely payment of the fortnight payroll for multiple entities and record keeping.
  • Collate payroll records, including employment contracts, timesheets, and leave forms.
  • Induct new staff, including the provision of contracts and other statutory documentation.
  • Supervise office, Centrelink, and Age Care staff and trainees and ensure that office functions are effective.
  • Submit invoices for payment and assist community members prepare application and reporting forms for Government services and licenses.
  • Provide reception and customer service duties.
  • Liaise with the Association's bookkeeper and Accountant and other contractors to ensure the efficient operation of Yungngora externally resourced functions.
  • Provide timely issue of documentation to the Accountant/Bookkeeper for debtor, creditor, payroll, and audit purposes.
  • Provide regular updates to the CEO and Council regarding the performance of funded activities, community issues, and any other issues relevant to NAC business.
  • Monitor office operations, ensure equipment is operational, and maintain office supplies.
  • Receive and distribute NAC mail and send and receive emails and faxes for community members.
  • Liaise with operational staff with respect to administrative matters.
  • Maintain records and archival systems to ensure information is accessible and adequately secured.
  • Supervise cleaning staff and provide assistance with cleaning rooms, as required.
  • Manage bookings for The Lodge, issuing invoices, and reporting repair and maintenance issues.
  • Compile daily purchase orders for the Yungngora Aged Care Facility.
About You

We are looking for an experienced Administrative Coordinator who has a background in administrative systems and practices, including payroll, internet banking, invoicing, customer service, records, and archiving. You will have strong communication and computer skills, a deep understanding of Aboriginal culture, and a commitment to community empowerment.

  • Knowledge of Aboriginal culture and a good understanding of the political, social, and economic factors impacting this culture.
  • Experience with Centrelink operations or willingness to quickly learn and be registered as a Support Agent for Centrelink.
  • Knowledge of relevant Equal Employment Opportunity (EEO) and Occupational Health and Safety regulations.
  • Ability to assist residents with limited or no literacy and numeracy skills.
  • Previous experience of living and working in a remote traditional Aboriginal community will be highly regarded.
