Mobilisation Team Lead

Our organisation seeks a skilled Mobilisation Coordinator to join its team. This key role involves coordinating the onboarding and mobilisation of site teams to various worksites, adhering to strict timelines and ensuring efficiency.

This critical position requires the ability to effectively manage multiple projects, prioritise tasks, and ensure seamless communication between work sites and our staff through phone, text messages, and email correspondence.

  • Coordinating the onboarding and mobilisation of site teams to various worksites is a vital aspect of this role.
  • The successful candidate will be responsible for gaining a comprehensive understanding of the specific operational requirements of each worksite.
  • Ensuring all personnel meet site-specific requirements, including qualifications, medical clearances, and inductions, is also a critical responsibility of this position.

In addition to these responsibilities, the successful candidate will need to have advanced skills in Microsoft Office, particularly Excel and Outlook, as well as excellent written and verbal communication skills.

The ideal candidate will possess exceptional organisational abilities and attention to detail, with a proactive personality and excellent people management skills.

Key Responsibilities:

  • Coordinating the onboarding and mobilisation of site teams to various worksites.
  • Preparing, managing, and maintaining all necessary documentation to facilitate seamless site entry for teams.
  • Organising flights, travel, and accommodation to ensure personnel are mobilised according to the roster.
  • Managing leave requests and maintaining accurate and up-to-date rosters and schedules.
  • Submitting site entry documentation to clients in compliance with their procedures and systems.
  • Lead the seamless mobilisation of personnel to allocated sites, ensuring alignment with project timelines and operational needs.
  • Utilise training, checklist, mobilisation, and planning software such as ERMS, SuccessFactors, My Pass, and INX to streamline processes, manage personnel data, and track qualifications (as required).
  • Establish and maintain clear lines of communication with site supervisors, employees, and other stakeholders.
Requirements:
  • A minimum of 3 years' experience in a similar mobilisation or administration role.
  • Proficiency in using ERMS and INX systems (highly advantageous).
  • Excellent written and verbal communication skills.
  • A strong understanding of customer service principles, ensuring satisfaction for clients and team members alike.
  • Advanced skills in Microsoft Office, particularly Excel and Outlook.
  • Exceptional organisational abilities and attention to detail.
  • A proactive personality and the ability effectively manage multiple projects.
  • Excellent people management skills are a must.
