Job Title: Mobilisation Coordinator

We are seeking a highly organised and efficient Mobilisation Coordinator to join our team. In this role, you will be responsible for coordinating the onboarding and mobilisation of site teams to various worksites, ensuring timely completion of tasks and maintaining high levels of efficiency.

  • Key Responsibilities:
  • Coordinate the onboarding and mobilisation of site teams, ensuring adherence to strict timelines and protocols.
  • Gather comprehensive information on the operational requirements of each worksite, including specific qualifications, medical clearances, and inductions.
  • Facilitate seamless communication between work sites and staff through phone, text messages, and email correspondence.
  • Prepare, manage, and maintain all necessary documentation to facilitate site entry for teams.
  • Organise flights, travel, and accommodation for personnel, ensuring timely mobilisation according to rostered schedules.
  • Manage leave requests and maintain accurate and up-to-date rosters and schedules.
  • Ensure all personnel meet site-specific requirements, including qualifications, medical clearances, and inductions.
  • Submit site entry documentation to clients in compliance with their procedures and systems.
  • Onboard and mobilise qualified employees for allocated projects, ensuring they meet project-specific requirements.
  • Lead the mobilisation of personnel to allocated sites, ensuring alignment with project timelines and operational needs.
  • Utilise software tools such as ERMS, SuccessFactors, My Pass, and INX to streamline processes, manage personnel data, and track qualifications (as required).
  • Establish and maintain clear lines of communication with site supervisors, employees, and other stakeholders. Regularly update them on project requirements, schedule changes, and relevant information.
  • Develop and maintain an organisational system to efficiently manage mobilisation requirements, including tracking employee qualifications, coordinating travel arrangements, managing timesheets, site access requirements, and tracking purchase orders and invoices.
  • Provide regular reporting (weekly, monthly, or as requested) to management.
