Mobilisation Coordinator Role

This position is pivotal in ensuring the efficient operation of site mobilisation and administrative processes.

  • Coordinate onboarding and mobilisation of site teams to various worksites, adhering to strict timelines and optimising efficiency.
  • Gain a comprehensive understanding of specific operational requirements for each worksite.
  • Facilitate seamless communication between work sites and staff through phone, text messages, and email correspondence.
  • Prepare, manage, and maintain necessary documentation for smooth site entry.
  • Organise flights, travel, and accommodation to ensure personnel are mobilised according to roster.
  • Manage leave requests and maintain accurate rosters and schedules.
  • Ensure all personnel meet site-specific requirements, including qualifications, medical clearances, and inductions.
  • Submit site entry documentation to clients in compliance with their procedures and systems.
  • In conjunction with HR, onboard and appropriately mobilise qualified employees for allocated projects ensuring they meet project-specific requirements.
  • Lead the seamless mobilisation of personnel to allocated sites, ensuring alignment with project timelines and operational needs.
  • Utilise training, checklist, mobilisation, and planning software to streamline processes, manage personnel data, and track qualifications as required.
  • Establish and maintain clear lines of communication with site supervisors, employees, and stakeholders. Regularly update them on project requirements, schedule changes, and relevant information.
  • Develop and maintain an organisational system to efficiently manage mobilisation requirements. This includes tracking employee qualifications, coordinating travel arrangements, managing timesheets, site access requirements, and tracking purchase orders and invoices.
