Job Description
We require an Administrative Assistant with proven experience in supporting Directors in business services delivery. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask and prioritize tasks effectively.
Main Responsibilities
- Handle high volumes of incoming correspondence, including hard copy and electronic documents.
- Answer and screen telephone calls, ensuring seamless communication with clients and colleagues.
- Assist with banking preparations, receipt processing, and invoice preparation.
- Record, post, and deliver outgoing mail, as well as sort and distribute daily incoming mail.
- Meet and greet clients, providing exceptional customer service.
- Prepare communications on behalf of Directors, ensuring accuracy and professionalism.
- Manage firm and personal correspondence for Directors, maintaining confidentiality and discretion.
- Collate Financial Statements and Income Tax Returns using DocuSign and MYOB Accountants Enterprise.
- Lodge taxation returns, ensuring timely and accurate submissions.
- Provide word processing, spreadsheet, and data entry support, maintaining high levels of accuracy and efficiency.
- Maintain the practice management database, ensuring up-to-date information and records.
- Perform filing, photocopying, and scanning tasks, adhering to company standards and procedures.
- Provide reception relief when needed, ensuring seamless coverage and continuity.
- Make tea and coffee for Directors and Clients, demonstrating a proactive and attentive approach to customer care.
- Manage diaries and organize meetings for Directors, ensuring effective time management and coordination.
- Perform ad-hoc duties as required, demonstrating flexibility and adaptability in a fast-paced environment.
Qualifications & Skills
- Proven experience in an accounting firm supporting Directors in business services delivery.
- Excellent written and verbal communication skills, with a professional manner and presentation.
- Ability to multitask and prioritize tasks effectively, with a meticulous attention to detail.
- Exceptional client relationship and communication skills, with a high level of discretion and sensitivity.
- Flexible team player with a positive attitude, able to work collaboratively in a supportive and collaborative environment.
- Experience in client business services and handling client/third-party correspondence, with proficiency in MYOB Accountants Enterprise.
