About the Role

We are seeking a highly skilled and experienced Program Coordinator to join our Research Data Experience (RDE) team at the University of New South Wales. The successful candidate will play a key role in providing administrative support to the program, ensuring the smooth execution of projects and initiatives.

Key Responsibilities
  • Program Management: Assist in the development of program plans, change requests, and resource plans, ensuring strategic alignment with project teams.
  • Leadership and Management: Support the leadership and management of the program, driving goal attainment and initiative success through strategic prioritization and influence.
  • Governance and Documentation: Manage governance documentation and meetings, including program diary management, minute taking, and management of program team actions.
  • Project Coordination: Manage the seamless integration of project schedules and resource allocation to optimize program execution and guarantee alignment with established timelines.
  • Communication and Collaboration: Facilitate clear and effective communication within the program team and stakeholders, address issues and concerns promptly, and foster a positive working environment.
  • Financial Management: Support program financial management, including tracking and coordinating vendor Purchase Orders and Invoices in conjunction with Finance.
  • Procurement and Documentation: Manage the documentation associated with procurement activities and prepare briefing notes, agendas, minutes, reports, presentations, and other documents as required.
  • Onboarding and Induction: Support the onboarding and induction of new employees.
Requirements
  • Relevant Qualifications: Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training, and experience.
  • Excellent Communication Skills: Excellent written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • Project Coordination Experience: Demonstrated success working effectively and collaboratively on initiatives with a range of people at various levels within an organization.
  • Technical Skills: Experience working with a range of computer systems and applications, including JIRA, Confluence, MS Project, MS Office.
  • Time Management and Organization: Excellent time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks, and meet competing deadlines by using judgment and initiative.
  • Financial Knowledge: Experience managing project finances and knowledge of UNSW Financial policies, procedures, and systems.
  • UNSW Values and Policies: An understanding of and commitment to UNSW's aims, objectives, and values in action, together with relevant policies and guidelines.
