Job Description:

We are seeking an experienced Executive Support Specialist to join our team in Sydney. As an Executive Support Specialist, you will provide high-level administrative support to our clients in the Investment Banking industry.

Key Responsibilities:

  • Calendar Management: Coordinate and schedule internal and external meetings, including time zone management.
  • Travel Coordination: Schedule domestic and international travel, including all on-ground logistics.
  • Expense Processing: Process complex expenses using Concur.
  • Communication: Communicate and interact with all levels of the division and across business functions, finance, human resources, and technology, as well as externally with clients and their teams.
  • Event Planning: Organize internal and external events, requiring organization of approval, invites, RSVP management, and function logistics.
  • System Administration: Quickly learn and keep up to date on systems.
  • Administrative Support: Perform diverse, advanced, and confidential administrative support functions, including composing, signing, and sending correspondence on behalf of your MD/the company.
  • Team Management: Manage a large team of varying level bankers and a number of different and often conflicting objectives, projects, or activities at one time.
  • Client Contact: Involvement in high-level client contact and exposure to sensitive information, must use considerable tact, diplomacy, and judgment.
  • Phone Coverage: Comprehensive phone coverage and broader EA team support.
  • Company Policies: Serve as a resource for basic company policies and procedures.

Requirements:

  • Experience: 5+ years of Investment Banking or financial services support experience, executive-level support preferred.
  • Attention to Detail: Strong attention to detail, ability to work effectively under pressure and with time constraints.
  • Communication Skills: Polished and professional phone and email communications.
  • Time Management: Significant time management, organization, multi-tasking, and prioritization skills.
  • Concur Experience: Concur or similar experience processing travel and expenses.
  • MS Office Skills: Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint).
  • Work Ethic: Exemplary demonstrated work ethic.
  • Adaptability: Ability to learn quickly and take on new responsibilities.
