About the Role:

We are seeking a highly organized and administrative professional to provide support to our Wealth Management team in Sydney. As a Wealth Management Office Administrator, you will be responsible for providing operational support to the team, including conducting administrative, operational, and compliance functions in a high-volume and time-critical environment.

Key Responsibilities:

  • Provide administrative support to the NSW State Manager and Administration Manager.
  • Support the administration of the entire office, including managing branch inboxes, responding to queries from various teams, and coordinating interstate visitors.
  • Assist with the coordination of branch events, client events, seminars, research, and company presentations, including room bookings, RSVPs, arranging catering/refreshments, and multimedia.
  • Coordinate travel bookings for management and assist other staff as required.
  • Compile and reconcile expense claims for management and assist other staff as required.
  • Maintain leave registers for all staff, performing monthly reconciliations of leave registers vs leave entered in Workday systems.
  • Process invoice requests from front office staff, liaising with the Finance team as required.
  • Maintain organizational charts, phone lists, and floor plans.
  • Update internal systems or relevant teams as required.
  • Document management, including storing, filing, and archiving of client and management documents.
  • Distribute daily open order trade reports.
  • Assist with processing new hires or leavers for the Sydney office.
  • Assist with administering Advisor leaver processes, including code setup.

Requirements:

  • 1-3 years of prior administration experience in a corporate or financial services institution.
  • Tertiary degrees highly preferred, especially those within commerce-related fields.
  • Prior exposure to financial services preferred, though recent graduates with minimal exposure will still be highly considered.

Key Competencies/Skills:

  • Excellent customer service and telephone manner.
  • Great organizational skills and ability to maintain files.
  • Well-developed IT literacy, database, and analytical skills.
  • Knowledge or interest in financial markets and the wealth management/financial planning industry – highly desirable.
  • Understanding of compliance and legal requirements pertaining to our client.
  • Administrative experience preferred.
  • Experience within a broking environment highly desirable.
